# How Tia works

> The concepts behind Taskezy — one assistant across every seat, the draft-then-confirm rule on your books, how conversations and media intake work, and the morning brief.

You only ever talk to one assistant. This page explains what happens underneath — enough to trust her with your books and read her replies fluently.

## One assistant, many seats

When you message Tia, a single model sees every tool she has — sales, finance, operations, inventory, and personal-assistant. There is no menu to pick from and no "department" to address. You write in plain language and she routes the work herself.

That means one message can cross seats. *"Carpenco won the JBR job, schedule the install Thursday and remind me to invoice the deposit"* touches sales, operations, and your reminders in a single turn. Tia handles the whole thing and tells you what she did.

  You don't need command syntax. Write the way you'd write to a colleague. Tia asks a follow-up question when something is ambiguous rather than guessing.

## Draft, then confirm — the two-step on books

Anything that changes your **books of record** — recording an expense, logging a payment, pushing an entry to your accounting system — is a two-step action.

    Reply `confirm` and the entry is recorded. Send a correction instead — *"project: JBR Villa 4"* — and she re-drafts. Nothing posts until an owner or manager approves it.

This is the **two-step on books** rule, and it has no exceptions. VAT, journal entries, payments, and posted invoices always wait for a human. Reads — *"how's cash this morning?"*, *"what's overdue from Carpenco?"* — happen immediately, because they change nothing.

  Team members on the **Member** role can submit receipts and updates, but their entries queue for an Owner or Manager to confirm before anything reaches the books. See [roles](/whatsapp-setup#roles).

## Conversations

A **conversation** is one inbound message you send to Tia. Forwarding a receipt is one. Asking a follow-up is one. Tia's replies back to you don't count. Conversations are how usage is measured on your plan — see [billing](/billing#what-counts-as-a-conversation).

Tia keeps the thread in mind as you go, so you can correct or build on the previous message without repeating yourself.

## Sending photos, PDFs, and voice notes

Tia handles more than text. You can forward:

* **A receipt or supplier invoice** — a photo or PDF. Tia reads the vendor, amount, VAT, and date and drafts an expense.
* **A business card** — a photo. Tia extracts the name, company, phone, and email, saves the contact, and offers to log a lead.
* **A voice note** — spoken in English or Arabic. Tia transcribes it and acts on it like any message.
* **A document** — a statement, a quote, a PDF. Tia reads it and decides what to do, or asks.

When you send an image or PDF, Tia first runs a quick check to recognise what it is — a receipt, a business card, or a general document — and leans toward the right seat. It's a hint, not a hard rule: a caption like *"this is for the JBR project"* always wins.

## The morning brief

Every business day, Tia assembles a single message that tells you what needs attention — pulled from your pipeline, project status, overdue receivables, low-stock items, cash movements, and anything due today.

It's terse when the day is routine and pointed when something needs your eyes:

## Privacy and trust

* **Tia is internal.** She replies only to numbers registered in your workspace. Messages from unknown numbers are politely turned away — Tia never handles customer-facing chat.
* **Your messages don't train AI models.** Customer messages and attachments are excluded from model training under Anthropic's commercial terms.
* **Your books stay yours.** When you connect an accounting system, it remains the system of record; Taskezy writes to it only on your confirmation.
