# Sales

> Capture leads from a chat or a business card, send and chase quotes, and turn a won deal into a delivery project — all over WhatsApp.

Sales is where a deal starts its life in Taskezy. Tia captures a lead, keeps its history in one timeline, records the quote you send, and — when you win — turns it into a delivery project that flows straight into Operations and Finance. Nothing falls through the cracks between "interested" and "invoiced".

## Capture a lead and move it to a quote

The everyday flow: a new enquiry comes in, you tell Tia, and the deal is on the board.

<Steps>
  <Step title="Capture the lead">
    Tell Tia in plain language — *"new lead — Khalid from Carpenco, wants a villa fit-out quote"*. Tia creates the lead, links the contact, and drops it on the first stage of your sales pipeline.
  </Step>

  <Step title="Keep the history">
    As the conversation moves, add to the timeline — *"add a note to the Carpenco lead: wants to start after Eid"*. Ask *"what's the latest on Carpenco?"* and Tia reads back the notes and events on that lead.
  </Step>

  <Step title="Record the quote">
    When you send a quote, log it — *"quoted Carpenco 85k for the JBR villa fit-out"*. Tia records the quote against the lead so you can track it. If the quote lives in [Zoho Books](/connect-zoho-books), ask Tia to *"look up the Carpenco estimate"* and it pulls the matching Zoho estimate.
  </Step>

  <Step title="Win it">
    *"mark the JBR job as won"* and Tia converts the lead into a delivery project, carrying the contact and history across. The deal stops being a "maybe" and becomes work you can schedule and invoice.
  </Step>
</Steps>

## Pipelines

Your workspace can run one or more sales pipelines, each with its own stages. Ask *"what pipelines do we have?"* and Tia lists them with their stages, so you and your team share the same view of where a deal sits.

## Leads and quotes

A lead is the deal record — the customer, the opportunity, and everything that's happened on it.

* **Create a lead** — *"new lead — Khalid from Carpenco, wants a villa fit-out quote"*.
* **Find a lead** — *"do we have a lead for Carpenco?"* fuzzy-matches by name.
* **Update a lead** — *"change the Carpenco lead value to 90k"*.
* **Add a note to the timeline** — *"note on Carpenco: site visit booked for Thursday"*.
* **Read the activity** — *"show me the history on the JBR villa lead"* reads back notes and events in order.
* **Record a quote sent** — *"quoted Carpenco 85k for the fit-out"*.
* **Look up a Zoho estimate** — *"find the Carpenco estimate in Zoho"* matches the estimate in your books of record.
* **Chase stale quotes** — *"which quotes are going stale?"* lists quotes that have expired or gone quiet, so you can follow up before they go cold.
* **Convert a won lead** — *"mark the JBR job as won"* turns the lead into a delivery project.

<Note>
  **Archive is a reversible delete.** When a lead dies, *"archive the Carpenco lead"* hides it from your active list but keeps the full history. Changed your mind? *"restore the Carpenco lead"* brings it back. Nothing is ever really lost.
</Note>

## Projects

When you win a lead, it becomes a project — the unit of delivery your team works against. Projects connect outward: schedule the work in [Operations](/operations) and bill it in [Finance](/finance).

* **List projects** — *"what projects are active?"*.
* **Find a project** — *"find the JBR villa project"*.
* **Create a project** — usually this happens when you win a lead, but you can also start one directly: *"create a project for the Marina office refit"*.
* **Advance a stage** — *"move the JBR villa to fit-out stage"* updates where the project sits.
* **Add a note to the timeline** — *"note on JBR villa: client approved the joinery finish"*.
* **Read the activity** — *"show me the history on the JBR villa project"*.
* **Archive and restore** — *"archive the Marina refit"* hides a finished or cancelled project; *"restore the Marina refit"* brings it back.

<Tip>
  A project's timeline is shared with your team, so anyone in the workspace can see the latest without asking. Pair it with [follow-ups](/personal-assistant) to make sure the next step always has an owner and a date.
</Tip>

## Contacts

Contacts are the people behind your leads and projects — customers, prospects, and the person who handed you a card at an expo.

* **Find a contact** — *"do we have Khalid's number?"*.
* **Save a contact** — *"save Khalid from Carpenco, +971 50 123 4567"*.
* **List contacts** — *"who are our contacts at Carpenco?"*.
* **Archive and restore** — *"archive that contact"* hides it; *"restore it"* brings it back.

<Note>
  **Zoho-synced contacts** stay in your books of record. Archiving one hides it in Taskezy only — it's kept in Zoho, so your accounting records are untouched.
</Note>

### Scan a business card

The fastest way to add a contact: forward a photo of their card.

<Steps>
  <Step title="Send the card">
    Forward a photo of the business card to Tia on WhatsApp — see [sending photos, PDFs, and voice notes](/how-tia-works#sending-photos-pdfs-and-voice-notes).
  </Step>

  <Step title="Confirm the details">
    Tia reads the name, company, phone, and email off the card and saves the contact, tagged as a card scan so you know where it came from.
  </Step>

  <Step title="Log a lead">
    Tia then offers to open a lead from it — *"want me to log a lead for Khalid?"* — so a card from a site visit becomes a tracked deal in one step.
  </Step>
</Steps>

## Where this lives in the app

Most sales work happens in WhatsApp, but everything is visible in the admin app too: your pipelines and their stages, the leads board with quotes and timelines, the projects list, and your contacts. Archived leads, projects, and contacts are tucked away but a search away.

## What's next

* [Which document to use](/documents) — quote, proforma, sales order, or invoice: what each is and when to send it.
* [Operations](/operations) — schedule the crew and the work once a deal is won.
* [Finance](/finance) — quote, invoice, and track what each project brings in.
* [Connect Zoho Books](/connect-zoho-books) — match quotes to estimates and keep contacts in sync with your books of record.
