Reminders and follow-ups
A reminder is a private nudge Tia sends you over WhatsApp at a time you pick. A follow-up is the same thing, but logged to a lead’s or project’s timeline so your team can see it. Both are yours alone — see the note below.1
Create a reminder
Tell Tia in plain language — “remind me to call Khalid tomorrow at 10”. She schedules a WhatsApp ping for that time. Make it recurring by saying so — “remind me to send the VAT figures on the 1st of every month” — daily, weekly, monthly, or yearly, with an interval like every two weeks.
2
Link it to a deal (optional)
Tie a reminder to a lead or project so the context travels with it — “remind me to chase the JBR Villa 4 deposit on Friday”. To make it team-visible instead, ask for a follow-up — “follow up on the Carpenco quote every Monday” — and Tia logs it to that deal’s timeline.
3
List what's pending
Ask “what reminders do I have?” and Tia lists your reminders and follow-ups, with their next ping time.
4
Mark one done or snooze it
Reply “done with the Khalid reminder” to close it — that cancels the pending ping. Not ready? Snooze it — “push the Carpenco follow-up to Wednesday 9am” — and Tia moves it to the new time.
Reminders and follow-ups are user-scoped — private to you. Tia can’t set a reminder for a teammate, because the chat carries no authority to act on someone else’s behalf. To delegate a reminder to another team member, use the Reminders page in the admin app instead.
Renewals
A renewal tracks something that expires and needs renewing — a trade licence, a visa, a VAT filing, an insurance policy, a tenancy, a vehicle registration, or an annual maintenance contract. Unlike reminders, renewals are shared across your workspace, so compliance dates don’t live in one person’s head.- Track a renewal — “track our trade licence, expires 14 March” and Tia records it with a running days-to-expiry. When you tell her it recurs — “the Mashreq insurance renews every year on 1 Jan” — she rolls it forward each cycle automatically.
- List what’s expiring — “what renewals are coming up?” lists every tracked item with days remaining.
- Update a renewal — after you renew, give Tia the new date — “the licence is renewed, new expiry 14 March next year”. You can also change the lead-day offsets or deactivate one.
- Stop tracking — “stop tracking the old vehicle registration” removes it and cancels its pending reminders.
The morning brief
Every business day, Tia assembles a single message that tells you what needs attention. She reads across every seat and pulls the day’s signal into one place:- Sales — pipeline movement and quotes going stale.
- Operations — what’s scheduled today, and any blocked projects.
- Finance — overdue receivables and notable cash movements.
- Inventory — items running low on stock.
- Personal assistant — anything due today, from reminders to expiring renewals.
You don’t have to wait for it. Send
brief me any time and Tia assembles the brief on demand — useful before a partner call or at the end of a long day.
The brief only reflects what’s in your workspace. Connect a bank feed and cash movements join it; track your dates as renewals and compliance deadlines join it too. The more Tia knows, the more the brief is worth.
Where this lives in the app
Most of this happens in WhatsApp, but it’s all visible in the admin app. The Reminders page lists your reminders and follow-ups — and is the only place to delegate one to a teammate. Renewals have their own list with days-to-expiry and lead-day settings. Follow-ups also appear inline on the lead or project timeline they’re attached to.What’s next
- How Tia works — one assistant across every seat, and how she reads your messages.
- Finance — the overdue receivables and cash movements that feed the brief.
- Operations — today’s schedule and blocked projects, the operational half of the brief.
