Tia is reached over WhatsApp. Each team member who needs to message Tia has their WhatsApp number registered in the workspace and is assigned a role that determines what they can ask Tia to do.

Roles

Three roles ship today:
  • Owner. Full access. Can confirm books-of-record entries, manage team and connectors, and view all data.
  • Manager. Full operational access. Can confirm entries and view all data, but cannot manage team or connectors.
  • Member. Operational team member. Can submit receipts, request information, and update assigned work. Cannot confirm books-of-record entries — those are escalated to Owner or Manager.
Role assignment is per-workspace and per-member. Role changes take effect immediately.

Step 1. Invite a team member

Open Settings → Team and click Invite member. Enter the member’s name, work email, WhatsApp number, and role. Click Send invitation. The invitee receives two messages:
  1. An email with a one-time link to set their password and complete sign-up. The link expires in seven days.
  2. A WhatsApp message from Tia introducing herself and confirming the number is registered.
If only a WhatsApp invite is needed (member doesn’t use the admin app), enter a synthetic email address — the system will skip the email step.

Step 2. Verify the WhatsApp number

Verification is automatic on the first inbound message from the registered number. Until Tia receives that first message, the team member appears as invited on the Team page. After the first message, the status flips to active. If a member changes WhatsApp number, the owner re-registers the new number from Settings → Team. The old number is removed; the new number is verified on the next inbound message.

Step 3. Resend an invite

If a member doesn’t respond within seven days, the email link expires. Open Settings → Team, find the invited member, and click Resend invite. Both the email and the WhatsApp introduction are re-sent.

What members can do over WhatsApp

Anyone registered to a workspace can:
  • Forward a receipt photo, supplier PDF, or voice note to log an expense.
  • Send brief me to receive the morning brief on demand.
  • Ask ad-hoc operational questions — “how’s cash this morning?”, “what’s overdue from Carpenco?”, “list low-stock items”.
Members with the Member role have their submissions queued for Owner/Manager confirmation before any books-of-record action occurs.

Privacy

Tia replies only to the registered number. Messages from unregistered numbers are rejected with a polite redirect — Tia does not handle customer-facing chat by design.
