Expense capture
The fastest way to keep books current: forward a receipt to Tia and confirm.1
Send the receipt
Forward a photo, a supplier PDF, or a voice note to Tia on WhatsApp.
2
Review the draft
Within a minute, Tia replies with a drafted entry — vendor, amount, VAT, category, and project (inferred from the receipt or the conversation when possible). Nothing is recorded yet.
3
Confirm or correct
Reply
confirm to record it, or send a correction like “project: JBR Villa 4” and Tia re-drafts. If Zoho Books is connected, confirming can also push the entry to your accounting system.Recurring merchants
Recurring merchants
The first time you confirm an expense for a merchant, Tia keeps it as free text. When the same merchant keeps appearing, ask Tia to promote it into your vendor list so future entries link to a proper vendor record. One-off merchants stay as free text — no clutter.
A note on categories
A note on categories
Correct a category once and Tia remembers the mapping for that vendor, so the next receipt from them is drafted right. When Zoho Books is connected, categories map to your Zoho ledger accounts — see account mapping.
Receivables — money owed to you
Tia tracks what your customers owe and what they’ve paid.- See what’s outstanding — “who owes us money?” lists open customer invoices.
- Look up an invoice — “find the Carpenco invoice” matches it and shows payments applied.
- Record a payment received — “Carpenco paid 18k against invoice 1042” logs the payment against the invoice.
Payables — money you owe
The same, pointed the other way — at your vendors and suppliers.- See what’s due — “what bills are outstanding?” lists open vendor bills.
- Look up a bill — “find the bill from Plumbus Trading” matches it and shows what’s been paid.
- Record a payment made — “paid Plumbus 1,240 against their bill” logs it against the bill.
Vendors and suppliers
Your vendor list is shared across finance — one vendor can be a product supplier, a bill vendor, and an expense merchant at once.- Find a vendor — “do we have Plumbus Trading on file?”
- List active vendors — “who are our suppliers?”
- Promote a merchant to a vendor — turn a recurring free-text merchant from your expenses into a proper vendor record, linked to its history.
Purchase orders
When you order goods or services before the bill arrives, raise a purchase order so the commitment is on the books.- Raise a PO — “raise a PO to Plumbus for 5,000 of pipe fittings” creates a numbered purchase order (
PO-2026-0042) to the vendor. - List recent POs — “show me open purchase orders” with vendor, status, and total.
- Find a PO — by its
PO-YYYY-NNNNreference or by vendor name.
Cash position and bank reconciliation
Connect a bank feed and Tia keeps your cash current — categorised, matched against expected payments, and ready by 8am in the morning brief. Connect Mashreq, ENBD, or RAKBANK via Lean Tech, or upload a statement PDF as a fallback. Once connected, ask Tia anything about cash:- Cash on hand — “how’s cash this morning?” returns the operating balance across connected accounts.
- List accounts — “what bank accounts are connected?”
- Recent transactions — “show me recent bank activity”, categorised automatically.
- Spending by category — “what did we spend on fuel last month?”
- Top counterparties — “who did we pay the most last quarter?”
Where this lives in the app
Most finance work happens in WhatsApp, but everything is also visible in the admin app: drafts and posted expenses, the AR and AP lists, vendors, purchase orders, and the Cash dashboard for bank transactions and reconciliation. What’s next
