Productivity is the part of Taskezy that keeps you on top of your own day. In the app it’s under Productivity: Hub, Tasks, Reminders, Notes and Files. Everyone on your team has their own — including people with the Member role, who only use WhatsApp.

Hub

Productivity → Hub is what needs you today, in one place: your tasks, reminders, notes and documents that are about to expire.

Tasks

Productivity → Tasks holds your to-dos, on lists you name. Lists are private to you.
  • Anything you capture over WhatsApp — “to-do: order more cable” — lands in your Inbox. File it onto a list with one click, or ask Tia to.
  • Tick things off in the app, or tell Tia “done with the cable order”.
  • Delete a list and its tasks go back to your Inbox.

Reminders and follow-ups

Productivity → Reminders lists them under All, Reminders and Follow-ups.
  • A reminder is a nudge Tia sends you on WhatsApp at the time you choose. Set one in the app, or tell Tia — “remind me to call Khalid tomorrow at 10”. Make it repeat daily, weekly, monthly or yearly: “remind me to send the VAT figures on the 1st of every month”.
  • A follow-up is a reminder about a lead or a project, and it shows on that deal’s timeline. It goes to the lead’s owner, or to someone you name — “follow up on the Carpenco quote Monday, give it to Sami”. They see who it’s from. See Lead owners and follow-ups.
Mark one done, or snooze it — “push the Carpenco follow-up to Wednesday 9am”.

Notes

Productivity → Notes keeps notes that are private to you. Tag them, and link them to a lead or project so they show on its timeline. Tell Tia “note that the Marina client prefers morning visits”, or send her a voice note after a meeting — “summarise this meeting” — and she writes it up and turns the action points into to-dos.

Documents

Productivity → Files is your document shelf: trade licences, Emirates IDs, insurance policies, tenancy contracts, brochures — anything you need to find again.
  • Add document — PDF, Word, Excel, an image or a text file, up to 10 MB each. Or send it to Tia on WhatsApp and ask her to file it.
  • Find it later — ask Tia “send me the trade licence” and she sends it back to you on WhatsApp.
  • Share or keep private — documents are private to you unless you share them with your workspace.

Documents that expire

Give a document an expiry date with Set expiry — or use Track an expiry to track a date before you have the document. You’re reminded 30 days and 7 days before it expires, and once renewed, the date moves on a year. Ask Tia to change the warning days if you need more notice. Filter Files by Expiring to see what runs out in the next 30 days. A document you give Tia with an expiry date is shared with your workspace by default, so a licence renewal doesn’t depend on one person. Your plan sets how much you can store: 250 MB on Starter, 1 GB on Growth and 3 GB on Max. Files shows how much you’ve used.

The morning brief

Each morning, Tia sends you a short brief on WhatsApp about what needs attention. It comes in up to four parts, and each person gets the parts their roles cover: It’s short on a normal day and pointed when something needs you. On a quiet day, there’s no brief at all. Switch it on or off, and set the Send time, in Settings → Notifications. It goes out at 8:00 in your timezone unless you change it, and only to people with a verified WhatsApp number.
