Everything about how your front desk behaves lives on Front desk → Agent. The page has four tabs — Overview, Abilities, Handover and Display — with a live preview on the right that answers from your settings as you change them.

The quickest start: from your website

At the top of Overview, enter your website address (for example https://yourbusiness.ae) and click Set it up. Taskezy reads your site and fills in every field for you — the kind of business, what you do, a name, a first message and a voice. Nothing is saved until you click Save, so read it through and change anything you like first. No website? Click Describe your business instead.

Pick What kind of business is this? — the starting point sets sensible defaults:Then describe What your business does in a few sentences (up to 1,200 characters).

The assistant

Set What your customers will call it and its First message. Every first message ends with a notice you can’t remove: “Just so you know, I’m an AI assistant — ask any time and I’ll pass you to a person.”

How it should sound

Choose a voice — Warm, Brisk, Formal or Chatty — or write the wording yourself.
It answers in English and Arabic, following the language the customer writes in. (The Tuition or fitness starting point answers in English only.)

Abilities — what it can do

Switch on only what you want it to do. Some abilities are open to anyone who messages; others only work once the front desk has matched the customer to your records — by a booking reference or order number plus the phone or email they used. On WhatsApp, a customer whose number is already in your contacts is matched automatically. For anyone who messages you Once matched to a customer record Switching an ability on also switches on what it depends on, and switching one off turns off anything that needs it. Quote prices from your catalogue decides whether it tells customers your published prices at all. Some things are always on: handing over to a person, answering about the range you sell, answering from what you’ve taught it, and checking who a returning customer is.

Handover — when it passes to a person

Customers can always ask for a person. On the Handover tab you decide the rest:
  • When it should fetch a person — subjects it should never try to handle, however capable it is. Type them in plain words, such as refunds, complaints or anything about a quote.
  • Take a number when you’re closed — out of hours, it takes the customer’s name and number for your team instead of promising a reply nobody is awake to give.
  • Draft a reply while you’re handling it yourself — when you take a conversation over, it suggests a reply for you to edit and send. It never sends one for you.

Display — how the widget looks

Pick the widget’s Colour — Lime, Blue, Teal, Rose, Orange, Violet, Ink, or any colour you like — and Which corner of the page it sits in. How it will look shows the result. Text colours are chosen for you so it’s always readable.

Try it in the preview

The preview answers exactly as the front desk will, using your unsaved settings. Choose Who is asking — A stranger or A known customer — and ask it what your customers ask. If you don’t like an answer, click Say it differently, then Teach it this to keep the better version as a worked example (up to 8).
The preview uses your real data. A booking made in the preview lands in your diary, and an enquiry it takes becomes a real lead. Messages in the preview also count towards your monthly usage.

Switch it on

The status at the top shows where you are:
  • Not switched on yet — a draft. Nobody can reach it.
  • Live — answering customers now.
  • Paused — not answering anyone.
Click Switch it on to go live, or Pause it to stop. Save keeps your changes without changing the status. While it’s a draft or paused, the website widget doesn’t appear and WhatsApp messages aren’t answered.
